Build the agenda around decisions
For each proposed item, identify whether the board needs information, a decision, or follow-up on an earlier action. A landscaping renewal should arrive with the current agreement, proposed changes, and unresolved service issues. A repair request needs a description of the problem and comparable scopes if bids are being considered.
An agenda also needs the association's required notice process. Texas law addresses HOA meetings, and the applicable requirements should be checked against the community's documents with counsel. Management support should work from that reviewed procedure, including how confidential matters are handled.
Preserve a useful record
Meeting minutes should record the decisions the association needs to rely on later. A separate action list can name the person responsible, the next step, and the date for an update. This gives directors a way to follow work without turning the minutes into a transcript of every comment.
When the board approves a vendor proposal, retain the version it approved. If a spending limit or condition applies, record it with the authorization. Otherwise, a later invoice can be difficult to match to what directors understood they were approving.
- Collect supporting documents and unresolved questions before the packet is issued.
- Check who must receive meeting information and how it must be delivered.
- Keep approved minutes and attachments in the association's record system.
- Carry unfinished actions forward with their current status.
Set the support level in advance
Some boards need help assembling packets; others want administrative attendance and follow-up as well. State whether the proposal covers board meetings, member meetings, elections, special sessions, or only certain types of support.
Bring the meeting calendar, recent minutes, and a sample agenda to Kolibri. Discuss attendance format, preparation deadlines, and how additional meetings would be charged. The board should also identify who approves the final agenda and minutes.
