A closing deadline can expose gaps in an association's records. Start a resale-document request early enough to identify the correct association, authorized contact, required materials, and applicable process.

Identify the association and the request

Provide the property address and the association's legal name when known. Explain whether you need resale documents, an account statement, governing documents, or another record. Those requests can involve different preparation and authorization steps.

Texas maintains a searchable HOA management certificate database. It can help identify recorded association contact information, but confirm that the contact is current before sending private records or payment. A property's title documents may also identify more than one association that needs attention during a sale.

Give the preparer accurate transaction information

A useful initial request includes the requester’s role, contact details, property address, expected closing date, and any written authorization needed to release information. The designated provider can then confirm the required process, timing, and applicable charges.

Do not assume a general website inquiry has ordered an official certificate. A certificate requires preparation from the association's records and authorization through its established process. If a closing date changes, notify the preparer and ask whether any information needs to be updated.

  • Track delivery and any follow-up questions from the title company.

Keep routine owner requests organized too

Owners may need a mailing-address change, a copy of a policy, an explanation of an account entry, or the status of an architectural application. Route each request to the appropriate record and keep sensitive details out of public messages.
