Before booking, guests may need to understand stairs, sleeping arrangements, pets, or the distance to their destination. Answer from the property's actual details. Avoid broad descriptions such as accessible or walkable unless the relevant features and route have been verified.
Before arrival, provide the approved directions, entry instructions, parking information, and house guidance at the appropriate time. Keep sensitive access details within the agreed communication channel. A guest should not have to reconcile several old versions of the same instructions.
Give problems a defined route
A Wi-Fi question, a broken air conditioner, and a life-safety emergency need different responses. The communication plan should identify who receives routine messages, who can arrange on-site help, and when the owner or booking platform must be involved. Emergency instructions should clearly direct guests to emergency services when needed.
Record the problem, the information gathered, and any approved remedy. If a refund or other adjustment is discussed, confirm who has authority to offer it and retain the decision in the appropriate booking record.
