A repair request needs a clear path from the first report to the finished work. Maintenance coordination brings the resident's description, the owner's spending authority and the contractor's findings into one record, so everyone can understand what happened and what remains to be done.

Get enough information to act

Start with the location of the problem, when it began and whether it is getting worse. Photos can help describe a leak or damaged item, but a qualified contractor may still need to diagnose the cause. Record any immediate effect on safe use of the home.

The response depends on the issue. A small cosmetic repair, loss of an essential service and an active hazard require different handling. Residents need the property's designated urgent contact procedure. A life-threatening emergency belongs with emergency services first; a general website inquiry is not an emergency channel.

Set authority before a repair is needed

The management agreement needs to explain which expenses require approval and what authority applies in urgent situations. Establish a reserve, the person who can authorize larger work and a backup if that person cannot be reached. An approval limit is easier to use when the estimate explains the repair, expected cost and any uncertainty.

For a repair-versus-replacement decision, consider the diagnosis, prior repairs, equipment age, warranty and total installed cost. A lower initial quote may omit disposal, access work or a permit. Ask the contractor to make those differences clear.

  • Provide equipment model numbers and available service history.
  • Identify active warranties and their authorization requirements.
  • Agree on vendor selection and any coordination charges.
  • Keep written approval with the work order and invoice.

Close the work order with useful evidence

A completed job needs more than an invoice marked paid. Record what the contractor found, what was repaired or replaced, and whether follow-up work is recommended. Preserve warranty details for new equipment. If the resident reports the same problem again, the earlier diagnosis helps avoid starting from zero.

Are repair bills included in the management fee?

Request an itemized proposal. Contractor invoices, materials, coordination charges and any markups should be identified separately from the recurring management charge so you can see the total cost.

Will I approve every repair?

That depends on the written authority you agree to. Set an ordinary approval threshold and an urgent-work procedure, including how you will be notified and how costs are documented.

Can maintenance coordination prevent every expensive repair?

No. Service history and attention to reported problems can support better decisions, but equipment and building components still fail. Keep a budget for replacements as well as routine work.
