Rental property inspections

A property visit is useful when it answers a question and creates a record someone can act on. For a rental, that might mean documenting the starting condition, looking into a reported concern or assessing work needed after move-out. Agree on the purpose and scope before scheduling a visit.

Give each visit a clear purpose

A move-in record establishes the condition at handover. An occupied-property visit can document visible concerns within the agreed scope and access arrangements. A move-out review helps identify cleaning, repairs and further investigation before the next resident arrives. Each needs its own context.

Routine management observations do not replace a specialist assessment of a roof, foundation, electrical system or other building component. If a concern needs testing or a technical diagnosis, identify the qualified professional needed and authorize that work separately. A visual record cannot establish the condition of concealed systems.

Make the record specific enough to compare

A photograph is most useful when its location and date are clear. Record the room, item and observed condition, including any area that could not be accessed. Avoid vague entries such as "bathroom issue" when the record could say which fixture is leaking and where moisture is visible.

Comparisons need context. A mark already recorded at move-in is different from newly observed damage. The Attorney General's guidance distinguishes normal wear from chargeable damage. A deposit decision needs the lease, the facts and appropriate documentation; photographs alone do not decide liability.

  • Keep consistent room and equipment names across reports.
  • Record unfinished work and the person responsible for following up.
  • Use before-and-after photos where they clarify a repair.
  • Limit photographs to relevant property conditions and respect personal belongings.

Connect observations to a decision

A list of defects needs priorities. Identify conditions requiring prompt attention, items needing contractor evaluation and work that can be planned for a later vacancy. Estimates and access requirements help the owner make those decisions.

The management proposal should state which visits are included, their frequency, any separate charges and how the owner receives the findings. Entry arrangements must follow the lease and applicable law. If access is disputed, resolve that issue before treating a visit as routine.

It can provide evidence of condition. The lease, move-in record, repair details and applicable law also matter. Obtain legal advice when a deduction or responsibility is disputed.
