Define the purpose of each visit
Separate arrival-readiness checks from periodic condition reviews. The first asks whether the home can receive the next guest. The second creates time to examine furnishings, appliances, exterior access, visible leaks, and deferred maintenance in more detail.
The inspection scope should explain what is observed, what is tested, and what remains outside the visit. A management condition check does not replace a licensed professional inspection, a code inspection, or a specialist assessment of electrical, structural, pool, or other technical systems.
Record findings in a form someone can act on
Useful observations identify the item, location, visible condition, and next step. Photograph damage where appropriate, record when it was found, and distinguish a new observation from an issue already awaiting repair. Avoid assigning a cause without evidence.
Classify the action by its effect on the stay.
